How much does a Virtual Assistant (VA) cost?
Once we’ve established the type of core tasks that are relevant to your business, we can price accordingly. We offer a personal, bespoke service designed to meet the needs of each individual client.
Can we work with a VA on an ad hoc basis?
Our experience shows that this method doesn’t result in an efficient way of working for either the VA or the client. Using a consistent retainer, the VA becomes more knowledgeable and therefore is a more valuable member of the team.
What is the minimum retainer?
The minimum VA retainer with PA Business Support is 40 hours a month. This equates to 2 hours a day over a 4 week month. This provides good solid coverage for your core administrative tasks.
Do I get to meet my VA?
You will always have the option to interview your VA over the phone or a video call. Once you begin working with your VA, any on-site/face to face time will be chargeable.
What tasks are best accomplished by a VA?
This is a question that small businesses frequently ask when they know they need administrative support but are not sure where to start. We would suggest you consider: email management, client follow up, diary management, travel organisation, marketing support. In essence, if you need to spend more time client-facing, on billable work and less time on admin, then the VA route is an excellent solution for you.
Do I get to work with the same VA each month?
Yes, the VA assigned to your business is the same person every month. This isn’t a temp service. The retainer allows for a consistent member of our team to join yours for as long as you require.
What if I need more hours in a month. Will my VA be able to grow with me?
Yes, we always place VAs with businesses where we feel there is a capacity for growth they and we encourage flexibility at busy times.
Where will my VA be based?
All of our team members are based in the UK, usually around London and the Home Counties. However being a virtual service, their location could be anywhere in the UK.
Are there any hidden/additional fees?
It’s a transparent service and usually only the agreed retainer is chargeable. However if you have any printing, postage, phone calls or similar, then we bill this back to you at the end of the month. We find these are usually minimal.
Do I pay for holiday time?
Our VA will always give you advance notice of any holiday plans and if retainer hours have not been achieved then you will only be charged for the hours completed that month. If you require holiday cover whilst your VA is away then this can also be arranged to ensure you receive the full coverage.
What is the minimum term I can work with you, and what happens after that?
We offer a minimum term of 6 months. If you like your VA and can see the added value of working with us then we can offer a 3 month rolling contract thereafter.
Can I have more than one VA in the business?
Yes, we have many clients who use more than one VA. As an example, you might have a number of directors and wish to split the support. It works really well having a couple of VAs providing support to different people and business areas.
Do you have terms of business?
Yes, once you feel ready to discuss working with us and one of our team we will send these across to you.
How do I pay you?
We have a direct debit system in place that we require you to sign up to prior to starting. We request 1 month’s advance to secure the VA.
Do I get to see a timesheet?
A timesheet is emailed to you with your invoice at the end of the month. However, you can request a timesheet at any point during the month. Your dedicated VA will always keep you updated on hours worked, which ensures that their allocated retainer package is not exceeded, unless you’ve specifically requested and agreed it. We offer a transparent service and all work is documented on the timesheet.
If my VA fits into my business really well would it be possible to offer them permanent employment?
For a number of reasons our VA team members choose to be VAs rather than employees. However, if you are interested in working directly with your VA then we are happy to discuss this with you. We charge a fee for this type of arrangement, details of which can be found in our terms of business.
